How to email a professor about research

Most emails from high school students go unanswered, and the reason is nearly always the same. Here is what to write instead, and what to do when nobody replies.

Start here if a programme just rejected you

The competitive summer research programmes reject the large majority of the students who apply to them, and several restrict who can apply at all. Stanford says openly that selection for its Institutes of Medicine Summer Research Program heavily favours local Bay Area students, which is the sort of detail that decides whether an application is worth writing and which most programme roundups omit.

You will also find acceptance-rate figures for these programmes quoted confidently across the internet. Many of them are not published by the programmes themselves. Stanford does not publish one for the programme above, so we are not going to repeat a number for it either.

The useful conclusion is not that these programmes are impossible. It is that a plan which depends entirely on being selected is a fragile plan, and the routes below do not depend on it.

The email almost everyone sends

This is close to a composite of what lands in an academic inbox several times a week during application season. Nothing in it is rude, and that is part of the problem: there is nothing in it at all.

Dear Professor Smith,

My name is Alex and I am a high school student who is very passionate
about biology. I have always been fascinated by your research. I am a
hard worker and a fast learner. I would love the opportunity to work in
your lab this summer in any capacity. Please let me know if you have any
openings. My resume is attached.

Thank you for your time,
Alex

It asks for a placement, which is the most expensive thing the recipient can give. It praises the research without referring to any of it. It could have been sent to anyone in the department, and the recipient knows it. There is no question in it, so there is nothing to reply to.

An email that tends to get answered

The difference is not politeness or vocabulary. It is that this one contains a real question, evidence of work already done, and an easy way to say no.

Subject: Question about your 2025 paper on drought tolerance in maize

Dear Dr Okafor,

I am a Year 12 student at [school], and I read your 2025 paper in Plant
Physiology on stomatal density and drought tolerance in maize.

I was surprised that the effect held at the lower irrigation level but not
the middle one. I had assumed the relationship would be monotonic. Is that
because the plants at the middle level were still able to regulate through
another mechanism, or is it more likely a sampling artefact at that group
size?

I ask because I am designing a small comparison of stomatal density across
three local grass species, using leaf impressions and a light microscope at
my school. I have done four weeks of pilot counts and my variance between
leaves on the same plant is larger than I expected.

If you have ten minutes in the next few weeks, I would value your view on
whether my sampling approach is sound. I am not asking for a lab placement,
and I am happy to be told the idea does not work.

Why that version works

Ask a question, do not ask for a placement

A placement request creates work for the professor: supervision, safety training, paperwork, and usually a funding line that does not exist. A specific question about their paper creates almost none. Researchers answer questions about their own work far more readily than they grant access to their labs, and a reply to a good question is the beginning of a relationship. The placement conversation, if it happens at all, happens later and is usually offered rather than requested.

Read one actual paper first, not the department page

The single clearest signal that an email is mass-sent is that it praises the research in general terms. Find one recent paper, read the methods and the limitations, and ask about something specific that puzzled you. If you cannot access the paper, email the author and ask for a copy, which is normal practice and almost always answered.

Write to postdocs and junior faculty, not department heads

Senior professors receive the most email and have the least time. Postdoctoral researchers and newly appointed lecturers are building their own groups, are closer to the bench, and are far more likely to reply. Their names are on the papers, usually as first author.

Say what you have already done, however small

Four weeks of pilot counts with a school microscope is worth more here than a list of grades. It shows you will still be working in week six, which is the thing a supervisor is actually worried about. If you have done nothing yet, do something small first and write afterwards.

Make it easy to say no

An email that assumes a yes is harder to answer than one that offers an exit. Saying that you are happy to be told the idea does not work raises the reply rate, because a short honest no costs the recipient nothing. It also gets you the more useful answer.

What does not work

  • Mass-sending the same email to forty professors. Academics talk to each other, and a generic email is obvious on the first line.
  • Attaching a resume to a first email. It reads as an application to something that was not advertised.
  • Offering to work for free as the main pitch. Cost is rarely the obstacle; supervision time and liability are.
  • Following up more than twice. One follow-up after two weeks is reasonable. Silence after that is an answer.
  • Claiming a passion for the field without evidence. Passion is the most common word in these emails and carries no information.

Routes that do not require anyone to pick you

Every route above depends on a stranger replying. These do not, which is why they are worth starting before the emails go out rather than after they fail.

Regional science fairs in the ISEF network

You cannot enter the Regeneron International Science and Engineering Fair directly. Entry is by winning a place at a Society for Science affiliated fair, and most US affiliated fairs run between January and March. Projects may contain no more than 12 months of continuous research, and the research must not have been performed more than 18 months before the ISEF you are competing in. Independent projects need a Scientific Review Committee form before experimentation begins, and anything involving human subjects needs Institutional Review Board approval. Teams are capped at three students.

Find your affiliated fair (Society for Science)

Community college and dual enrolment

A community college course in statistics, chemistry or research methods costs a fraction of a summer programme, is open-enrolment rather than selective, and gives you laboratory access plus an instructor who can later write about your work from direct observation. It is unglamorous and it is consistently underrated by applicants chasing brand-name programmes.

Hospitals, museums, and public agencies

Teaching hospitals, natural history museums, agricultural extension services and state environmental agencies all run volunteer programmes that involve real data collection, and they are far less oversubscribed than university summer schools. The work is often tedious. Tedious work you actually did beats a prestigious programme you attended passively.

Frequently asked questions

Do professors actually reply to high school students?

Some do, and the reply rate depends far more on the email than on the student. A specific question about a recent paper, sent to a postdoc or junior faculty member, gets answered at a much higher rate than a generic placement request sent to a department head. Expect most emails to go unanswered even when they are good, and treat that as normal rather than as a verdict on you.

How many professors should I email?

Few, and carefully. Five genuinely researched emails will outperform forty generic ones, and the forty carry a real cost: academics in the same department forward these to each other. Write to people whose actual papers you have read.

Is it worth applying to the big summer research programmes as well?

Yes, but treat them as lottery tickets rather than as a plan. Many are extremely competitive and several restrict eligibility geographically. What if no one replies to anything?

That is the common outcome, and it is why the routes that do not depend on being selected matter. A science fair project, a community college course, or a self-directed study using public datasets can all be started this week without anyone granting permission. A supervised independent project is another route, and is the one ScholarBridge runs, but you should exhaust the free options first.

Should I mention that I want a letter of recommendation?

Not in a first email, and ideally not for a long time. Asking for a letter before any work exists tells the recipient that the letter is the point. Do the work, and the letter becomes a straightforward request later.
